Our Booking Terms and Conditions of Service:
In general, Access Africa Safaris Limited (the company) arranges safaris in Uganda, Tanzania, Kenya, and Rwanda and in the democratic republic of Congo. You are therefore required to read these booking Terms and Conditions carefully as these describe our obligations and form the basis of your contract with us. In these booking terms and conditions, "you" means all persons named on the booking (including anyone who is added or substituted at a later date) and "we" and "us" means Access Africa safaris Limited. Access reserves the right to amend these conditions from time to time due to the prevailing conditions; the terms at the time of booking are the terms that are valid. Conditions in Africa are not the same as those in developed countries and standards of service, medical facilities, safety and security may often be lower than those in your home countries. Please note that it is the laws and regulations of the country in which services are provided which apply to your holiday arrangements and not those of your home country.
Change of Safari
If conditions necessitate, you reserve the right to change any arrangement and to cancel the carrying out of any scheduled safari. You also have a right to reject or request for any of our staff for a tour at any time. Your failure to join a tour, abandoning a tour before its completion or arriving after departure will not, whatsoever, qualify you for a refund.
Cancellation of a Tour
All cancellations must be made in writing and refund should be forwarded as soon as we can. The following cancellation charges apply to the basic program.
1. Cancellations received will be subject to the following forfeit of tour cost:
101 days and above 20%
61-100 days 30% of tour cost
46-60 days 50% of tour cost
16-45 days 80% of tour cost
0-15 days 100% of tour cost
NB. Cancellation fees are based on the date your written notification is received at Access Africa Safaris You should therefore note that gorilla and chimpanzee permit fees are 100% non-refundable.
The company has the right to reduce the expenses incurred on the money so far received.
Alterations in Booking
In case you have met some difficulty and are unable to embark on your safari due to unavoidable circumstances, the company may transfer your booking to another party as long as the arrangements remains constant and other service providers, such as the hotels, can in the circumstances, accept the changes.
Accommodations
Where possible, we shall endeavor to arrange for you self-contained (bathroom and toilet within the private room) facilities depending on the nature of place and your budget. But in case over bookings at any hotel or Lodge, the company has the right to change the itinerary or a particular lodge/hotel similar to the previously booked accommodations.
Complaints
Complaints must be reported immediately to our representative and to the supplier of the service(s) in question, who will do their best to resolve any problem. If you remain dissatisfied, a written report should be submitted to the Safari manager in Kampala as soon as possible after the incident and not later than 20 days after completion of your holiday, to enable us to investigate them fully. Regrettably, liability for any complaints not notified in accordance with this procedure cannot be accepted.
Payment.
At the time of booking you must confirm acceptance of these terms and conditions and pay a deposit of 30% of the price of your holiday including fees for gorilla permits. If written acceptance is not received from you, we shall assume acceptance of the Terms and Conditions once you make the deposit. The balance must be paid in full before the start of the safari. It could be paid before coming or just before the start of the holiday/ tour. We however reserve the right to request full payment at least 30 days before start of the holiday.
Transport
The mode of transport will be arranged in consideration of the itinerary selected and the number of clients expected to undertake a safari. You will be provided with English tour guides. Should the need for another language speaking guide arise, please advice.
Traveler’s Insurance
You need to obtain travel insurance prior to your coming to Uganda. However local evacuation coverage can be offered by our company should a health emergency occur while on a safari. You can request for it while booking with us.
Liability
Access Africa Safaris accepts liability for its staff or agents if the company acts as an agent for its clients in all matters concerning accommodation, transport, safari and any other pre-arranged service but shall not be liable for any loss, injury or delay resulting from causes beyond the Company’s control. The company reserves the right to allow or employ any other capable safari company to offer part or all services to its client as had been agreed. Access Africa Safaris accepts no liability for any loss or damage to your baggage.
Viewing Animals.
A gorilla permit gives you a guarantee to track gorillas in their natural habitat but not necessarily in a plain sight. You can take photograph and leave only hoof marks. There is no guarantee on viewing an animal of your choice.
Insurance
It is advisable that before undertaking a holiday with us that you have, appropriate insurance for the type of holiday being taken. Such insurance should fully cover death, personal injury, medical expenses, repatriation in the event of accident or illness or death, cancellation or curtailment of the holiday by side and loss of, damage to, or theft of the clients' personal property. Activities with a greater inherent risk, such as mountaineering, animal tracking on foot, white-water rafting should be covered. Evacuation cover is provided by Access Africa Safaris for clients undertaking a full safari package like yourselves.
JURISDICTION
The principal company is incorporated in the Republic of Uganda and it operates under the laws of Uganda.
